Brainis vs Rippling

You run Rippling today and are deciding whether Brainis replaces it, joins it, or isn’t for you. The honest answer is below — including the part where Rippling wins.

Rippling is unusually well built and unusually broad. This page is about the difference between administering a workforce and operating a company.

02Category difference

Rippling administers your workforce. Brainis operates the loop above it.

Rippling's job maps to People AI inside Brainis — and Rippling reaches beyond that into device management and spend, which Brainis does not do at all. The difference is not breadth; Rippling is broad. It is direction. Rippling makes the employee record the spine and automates administration off it, extremely well. Brainis makes company state the spine, decides against modelled futures, compiles decisions into missions, and verifies the work independently.

Rippling is a workforce administration platform for HR, IT, and spend. Rippling’s job maps to People AI, inside the loop.

03When Rippling is enough

Stay on Rippling if this is you.

This section is not a set-up. If one of these describes your company, Rippling is the better buy and we would rather you knew that here.

  • Administration is the problem, and it is a real one

Onboarding a person and having payroll, benefits, devices, and app access all happen correctly is genuinely hard, and Rippling does it about as well as anyone. If that is your pain, buy Rippling.

  • You need device and app management alongside HR

Provisioning laptops and revoking software access from the same employee record is a capability Brainis does not have and is not building. Here Rippling is not just better — it is the only one of the two that does it.

  • Payroll and compliance across jurisdictions

Multi-state and multi-country payroll with the compliance machinery behind it is specialist infrastructure. That is a place to buy the specialist.

  • Your decisions are already made somewhere else

If leadership decides and Rippling executes the people half cleanly, the loop Brainis adds is solving a problem you have not felt yet.

04When you need the loop

What Brainis adds, and the mechanism that adds it.

Each of these names the part of the system doing the work — state, missions, Verify, autonomy — and links the page that proves it.

  • When the people decision needs the company attached

Whether to hire, restructure, or hold is a company decision with a cost against every other use of that money. The Strategy Engine models those alternatives against your live state.

    C-021See Strategy Engine
  • When plans need to become governed work, not just records

An approved decision compiles into missions with owners, budgets, and acceptance criteria — routed to your team and to agents under authority you set.

    C-022See Missions
  • When you want a ceiling on what software may do alone

Autonomy runs on eight levels, set per domain, with a permanent never-autonomous list and a full audit trail.

    C-104See Autonomy
  • When the morning question is what changed and what needs me

The brief is five sections — what changed, needs attention, likely to happen, should be done, running now — capped at seven items, with every number evidence-classed.

05Side by side

Grouped by what the loop actually does.

Verifiable capabilities only. The Rippling column describes what Rippling does; it never asserts a limitation we have not checked. Where Rippling is better, the row says so.

Understand

What the system knows about your company.

  • A single live model of the company — goals, customers, money, commitments

    • Rippling

Employees, payroll, benefits, devices, app access, and spend — an unusually complete workforce record, and the authoritative one where it is deployed.

      Brainis

One live model, every fact carrying its source, its freshness, and a confidence score.

      C-020See Company State
  • Device and app administration from the employee record

    • Rippling

Rippling provisions and de-provisions laptops and software access from the same record that runs payroll. Brainis does not do this at all.

      Rippling is better here

      Brainis

Not a Brainis capability. People AI covers HRIS, onboarding, performance, and payroll — not IT administration.

Decide

How the next move gets chosen.

  • Alternative futures modelled before a path is recommended

    • Rippling

Outside what a workforce platform is for — Rippling executes the headcount decisions you have made.

      Brainis

The Strategy Engine models the options first; change a constraint and the recommendation changes.

Deliver

How the work actually gets done.

  • How an approved plan becomes work

    • Rippling

Workflow automations fire off employee-record events you configure.

      Brainis

Approved strategy compiles into dependency-aware missions with owners, budgets, and acceptance criteria.

      C-022See Missions
  • Where the AI does its work

    • Rippling

Rippling ships AI-assisted features inside its own administration surfaces.

      Brainis

Inside the real products — the CRM, the ATS, work management, campaigns — through governed MCP tool calls.

  • What an automation is allowed to touch

    • Rippling

Workflows act on Rippling objects under the role permissions you configure.

      Brainis

Authority contracts scope every act by action, domain, value, risk, reversibility, time, and owner.

Verify

What has to be true before it counts as done.

  • An independent check before work counts as done

    • Rippling

Outside what a workforce platform is for — an administrative task completes when the workflow completes.

      Brainis

Independent quality agents check each deliverable against its acceptance criteria — and can reject it.

  • Who grades the work

    • Rippling

Outside what a workforce platform is for — an administrative task completes when the workflow completes.

      Brainis

Never the agent that produced it. High-risk work is checked by a different model family.

  • Your own standards as checks

    • Rippling

Outside what a workforce platform is for — an administrative task completes when the workflow completes.

      Brainis

Acceptance criteria you write become Verify checks — authored once, composed into libraries, enforced per domain.

      C-043See Verify
  • How a finished deliverable reaches you

    • Rippling

Approval chains review requests. Checking an agent's deliverable against acceptance criteria is a different mechanism.

      Brainis

As a reviewable diff — old versus new, inline threads, Verify findings on the exact lines.

Learn

What the outcome changes.

  • What happens to a decision after it is made

    • Rippling

Reporting shows workforce history. Recorded predictions graded against outcomes are not part of the product.

      Brainis

Predicted and actual outcomes land in the Decision Ledger and change the next recommendation.

  • Whether the forecast was any good

    • Rippling

Reporting shows workforce history. Recorded predictions graded against outcomes are not part of the product.

      Brainis

Predictions carry a range and a model version, and are preserved unchanged when reality arrives.

06Coexistence & migration

Running both is the expected path, not a failure.

Connector depth today
There is no Rippling connector in the live catalog today. Communication, calendar and email, data warehouses, and AI providers are what connect now.See Integrations
What imports
Employee records come across by CSV with field mapping through the product's people importer. Payroll runs, benefits elections, device state, and provisioning rules do not — and should not.
What stays in Rippling
Keep Rippling. Payroll, benefits, and device management are not things to move for the sake of consolidation, and Brainis is not asking you to.
Leaving whenever you want
Export through the admin data wizard at any point, and hitting zero AI credits never locks your data or your non-AI workflows.C-032See Pricing

07Pricing

What each of you is charging for.

Rippling is quote-based, priced per employee per month with modules bought separately, so the number depends on which modules you take. Brainis publishes its full matrix: plans set a seat band, connectors, concurrency, and an autonomy ceiling, AI credits pay for the agent work, and every credit-consuming action shows its cost before it runs; seats above the band are charged per seat. These are not substitutes — most companies who need payroll should pay for payroll, and the honest comparison is what the decision layer above it is worth.

Brainis is free to start, paid plans from $29 a month. See Pricing
